12) Configure your attendees participation by clicking in the arrow at the attendee's name.

13) Send the appointment.
 
14) Meetings are received as follow:

15) When you receive a meeting request for a time that is not preferable but you want to attend the meeting, you can propose a new meeting time. The meeting organizer can accept or decline your proposal.
 
16) In the open meeting request, on the Message tab, in the Respond group, click Propose New Time.
 
17) If you open the meeting from your calendar, on the Appointment tab, in the Respond group, clicks Propose New Time .
 
18) Click either Tentative and Propose New Time or Decline and Propose New Time.
 
19) Click Propose Time.
 
20) Click Send.

21) Outlook sends a default message saying that you want to propose a new time but you have tentatively accepted the meeting.
 
22) You can change this default message to say that you want to propose a new time, and that you are declining the meeting.
 
23) On the Tools menu, click Options, and then click Calendar Options.
 
24) In the Use this response when you propose new meeting times list, click the setting that you want.
 
25) Open the meeting request and accept a proposed new meeting time. Click Accept Proposal.
 
26) Click Send Update.
